Operations Staff

Job Summary

  • The Operations Staff is responsible for supporting day-to-day operational functions by ensuring accurate documentation, inventory monitoring, and coordination across departments. This role involves the timely preparation and submission of reports, monitoring of van and equipment inventory nationwide, handling petty cash and cost accruals, and assisting in billing processes. The Operations Staff also acts as a liaison among departments to address operational concerns, maintain accurate records, and ensure efficient logistical support for company assets and activities.

Duties and Responsibilities

  • 1) Updates and submits Daily Activity Report to departments concerned.
  • 2) Monitors document return after the trip, and submits to departments concerned for billing and other purposes.
  • 3) Provides document monitoring report to credit & collection and operations.
  • 4) Monitors inventory of medicines and HR Forms.
  • 5) Coordinates billing, cost accrual, and petty cash issues with the department concerned.
  • 6) Handle and monitor cost accruals related to operations
  • 7) Handles petty cash fund for operations.
  • 8) Checks suppliers billing of operations, prepares request for payment, and submits to immediate superior for approval.
  • 9) Monitor daily the status and location of each van nationwide.
  • 10) Prepares daily van inventory report and submits to immediate superior and all parties concerned.
  • 11) Prepares the following reports; monthly van inventory report, van utilization and turnaround, cable and plug inventory, van repositioning, leased equipment inventory and status, and other reports that will be advised by the immediate superior.
  • 12) Coordinates with department concerned any concerns or issues related to van inventory and movements.
  • 13) Provide alerts to department concerned on overstaying equipment.

Qualifications

  • Bachelor’s Degree
  • Business Course
  • With 6 months to 1 year work experience in shipping or fowarding industry.
